The Field Assistant Manager supports leadership with the management of staff and day‐to‐day operations for the assigned area of responsibility. In this role, the individual is accountable to deliver established goals, utilizes good judgment to assess and escalate situations when warranted and utilizes knowledge and skills in the area of expertise while maintaining expected green leaf quality standards. The Assistant Manager must act as a leader by building constructive relationships and by supporting agriculture department leadership in developing, setting and executing department goals and the strategic plan in accordance with UTT mission statement


Main Accountabilities


Main Accountabilities

  • Manage Estate Division to the highest agricultural standards and improve productivity through expansion and sustenance of mechanical harvesting operations by having best practices of harvesting, post-harvest handling and identification of potential MH fields.
  • Plan and oversee day to day operations by supervising hand plucking, harvesting personnel to ensure acceptable standards of green leaf quality is harvested and well-handled to the factory.
  • Plan and execute the estate division annual agricultural practice, pruning and fertilizer application.
  • Ensure the division administration is managed by providing periodical crop forecast, validation of payroll input/output, payments of employees and the entire financial expenditure is within the budget.
  • Manage the estate division industrial/employee relations, conduct disciplinary cases as per the CBA /employment act and company disciplinary procedure. Enhance good co-existence amongst workers and the neighboring community.
  • Manage the division infrastructure and conservancy to the required standards; fully embed best practices in Rainforest alliance.
  • Deliver the business targets aligned to Business strategy, jobs to be done (JTBD) and enhance performance culture through business transformation.
  • Interfaces with many roles e.g. Factories, Finance, HRBP, Unions, Legal, etc


Estate Management

  • Operating and maintaining the site as a fully functioning and productive all year round by wise planning of irrigation time, pruning, fertilizing, weeding practices etc.
  • Ensure that the division is maintained to the highest possible standards at all times and that the company infrastructure and associated accessories are robustly protected and cared for.
  • Provide effective management of staff operating within the division function, consisting of four headmen/women.
  • Managing, distributing and maintaining the plucking equipment within the division and reordering new ones from the central store whenever necessary.
  • Monitor the progression of all tasks within the division ensuring all specifications are met within an agreed time, budget and quality requirements
  • Comply with and help enforce standard policies and procedures within the department relating to sustainability and related tasks
  • Review future new tea development field space requirements, develop and implement a management plan
  • To carry out any other duty as directed by the line manager in accordance with the level of the post.


Finance and Contract Management

  • Responsibility for controlling and managing the production costs, field costs, overhead costs and total budget; and working with the estate manager in budget setting in future years
  • Ensure that cost effective support and maintenance arrangements are put in place and regularly reviewed, using internal resources and external/outsourced contractors where appropriate
  • Anticipate future developments with the fields, estate infrastructure, plucking accessories in advance, ensuring that adequate planning and budgetary provision is made for maintenance and repair works and that continuity of service is optimized
  • Working with the estate manager and fellow assistants to implement best value utility arrangements and to reduce costs wherever possible
The Site Safety Operations supports the Site SHE Manager or Coordinator in managing Safety & Health improvement activities to achieve excellence at the site level. S/he works with site SHE teams to identify and implement improvement plans in order to achieve sustainable SHE excellence by reducing injuries and illnesses as measured in the core KPIs.
  • Support the deployment of the global/cluster SHE strategy, policy and standards in the site to achieve excellent sustainable results
  • Participate in the SHE teams responsible to deliver Occupational Health, Safety and Environmental results
  • Drive safety risk assessment and assist in implementation of appropriate controls
  • Aid the Site SHE Manager or Coordinator in leading the SHE Pillar in accordance with ManEx
  • Attain a thorough understanding of the Unilever BBS Program and support deployment in the site
  • Attain a thorough understanding of the Unilever PSM Program and support deployment in the site and support the application of Unilever guidelines and procedures for Process Safety assessment (SIMAS)
  • Influence line management and drive safety leadership
  • Monitor site legal compliance and ensure the site meets all local/national regulatory requirements and Unilever standards.
  • Work closely with Occupational Health personnel to identify and mitigate risks which may lead to occupational ill health
  • Assist the Site SHE Manager or Coordinator to develop and lead the internal crisis committees and safety committee; support the site leader in leading serious incident investigation and analysis
  • Conduct trend analysis from incidents, near misses, safe behaviour observations and deep compliance audits
  • Assist in delivery of training programs

Ubongo is a non-profit social enterprise that creates and distributes fun, localized educational content that helps kids learn, and leverage their learning to change their lives. Ubongo reaches over 24.6 million families with Ubongo Kids and Akili and Me across Africa through accessible technologies like TV, radio, and mobile phones. One of Ubongo’s goals is to reach an additional 2.5 million kids in 2022 who are unreachable via broadcast.

We are looking for multiple ‘Field Distribution Officers’ as full-time consultants to boost our efforts to reach kids and families with our content in underserved communities (places we don’t reach via TV and radio) within Tanzania.

This role is perfect for someone with a ‘figure-it-out’ attitude. Working in the field requires you to be able to think on your feet. The role will involve travelling across different communities in the region of Tanzania you work in to distribute Ubongo Toolkits via USBs, CDs, printables and other technologies used by the local community. The ideal candidate will be someone with great communication and people skills who can connect with different groups of people like parents, local shopkeepers, religious leaders, community radio station owners, and kids. Meeting with all these people also means that you will be our ambassador! 

RESPONSIBILITIES

Distribute content to off-grid communities 

Main Activities: 

  • Acquire any government permits required to distribute the content
  • Visit various centres to share Ubongo content via USBs, CDs, printables etc
  • Continuously be on the lookout for new ways to reach the most underserved kids
  • Gather and share lessons from the field with regard to what does and doesn't work when sharing content with off-grid communities
  • Document lessons daily and share feedback monthly
  • Maintain a complete record of areas visited including contacts and medium used to distribute content to get information on how the content is used 
  • Follow up in person or via phone with all the people with whom the contact is shared

Reach children in underserved communities in Tanzania with Ubongo content 

Main Activities:  

  • Visit multiple locations on the ground to distribute Ubongo content area wise
  • Create a distribution plan by breaking down geographic and demographic areas to target systematically 
  • Identify places (app installation stalls/local cinemas/any other relevant locations) and 'supply chains' where content can be shared
  • Travel across the region of Tanzania you are located in to figure out distribution channels and build networks and partnerships to distribute the content to kids

REQUIREMENT:

Responsibilities

Position Description

RTI is seeking a Director of Finance and Operations for the anticipated USAID/Tanzania Heshimu Bahari project, focused on supporting and strengthening marine biodiversity in Tanzania. The Director of Finance and Operations will lead budget development and monitoring, award monitoring and compliance, procurement, and logistics for RTI in the field. They will proactively manage security and mitigate security risks.

Position is contingent upon award and funding.

Responsibilities of the Director of Finance and Operations include, but are not limited to:

  • Lead all project finance and operations, including general administrative processes, financial management, procurement, accounting, administration, human resources, IT and logistics.
  • Establish and maintain sound and transparent accounting and fiscal control procedures; be able to detect and swiftly deal with any issues of fraud and/or corruption.
  • Ensure compliance of financial and operations systems with RTI policies and procedures, USAID rules and regulations, and local laws.
  • Works closely with COP, technical staff, pertinent RTI home office staff and appropriate USAID staff when necessary to ensure project resources are effectively and efficiently budgeted, analyzed, disbursed, monitored and reported in achieving project objectives and results.
  • When necessary, work closely with key RTI staff, government officials, contractors and USAID staff to ensure full compliance with local laws (i.e., taxes, shipping, customs, registration) while integrating with current systems and procedures.
  • Liaise between RTI headquarters and the field office on financial and procurement matters.
  • Regularly analyze and forecast project expenses.
  • Support finance/operations-based capacity development of local partners/government agencies as needed by the program
  • Oversee preparation and timely submission of monthly financial statements and reports (including expenses, receivable and payables, bank reconciliations and wire transfer requests).
  • Supervise the project’s operations, finance, procurement, and administrative staff, providing training and oversight.
  • Provide oversight and management of program subcontracts and grants;
  • Liaise with internal and external auditors in the review of project financial management.
  • Manage and mitigate risk through monitoring national and regional issues that may impact staff and programming and ensure all staff understand and adhere to RTI staff safety and security policies and plans.

Qualifications:

  • Bachelor’s Degree and 12 years of experience, Master’s degree and 10 years of experience, PhD and 6 years of experience, or equivalent combination of education and experience.
  • Ten (10) years of progressively responsible experience and expertise in the implementation of large and complex projects, regional programming experience preferred.
  • Five years proven leadership of similar sized international donor programs with strong skills in strategic planning, management, supervision, procurement and budgeting.
  • Knowledge of applicable USG and USAID procurement, assistance, rules and regulations, as well as administrative policies and techniques.
  • Proficiency in MS Excel, Word, PowerPoint and Access plus working knowledge of accounting and procurement software (particularly QuickBooks) is preferable.
  • Demonstrated skills in building, mobilizing, and leading multidisciplinary teams.
  • Proven ability to work under pressure, and with multiple concurrent demands.
  • Excellent communication and interpersonal skills.
  • Fluency in written and spoken English required; fluency in Swahili preferred.
  • Experience working in Tanzania.
  • Ability to travel and work throughout Tanzania.

Position Description

The COP will be responsible for overall project performance, management, and execution ensuring all project deliverables are exceptionally exceeded within budget and compliance. This position will provide project planning, oversight, leadership, and coordination. The COP will build and maintain strong and favorable client, partner, community, home office and team relations. They will provide technical assistance, coordination with the local government and support activities where necessary.

Project Overview And Role


Under the USAID-sponsored Data for Impact (D4I) project, Palladium is executing a site level monitoring and health data collection activity in Tanzania. The overall goal of the activity is to improve clinical care, patient safety and health care operations. This will be accomplished by periodic quality assessments (QA) of USAID supported health sites with recommendations for actions to improve quality (QI).


Palladium is currently recruiting a Finance and Administration Officer to work for the USAID-funded D4I project. This person will be based in Dar es Salaam, Tanzania with some travel expected. This full-time position will assist the project with activities related to finance and administration and logistics. The position will support the D4I activity and report to the Tanzania Director of Finance and Administration.


Key Responsibilities

  • Assist with event planning and other activities. This includes venue, accommodation, transport, and per diem arrangements for participants
  • Work closely with Tanzania Director of Finance and Administration to implement monthly payroll accurately and on time, keep accurate and updated records and conducts regular reviews of staffing financial information
  • Process and coordinate monthly statutory deductions for payroll
  • Maintains payroll information by collecting, calculating, and entering data
  • Maintain complete, accurate and timely financial records; prepare and submit monthly financial reports as directed by Project Director /Tanzania Director of Finance and Administration in timely manner; appropriately file paper and electronic copies of all supporting documents
  • Maintain financial, procurement, and attendance records for all meetings and workshops
  • Complete weekly cashbooks to be reviewed by Tanzania Director of Finance and Administration
